What Information We Collect
Depending on your relationship with us, we may collect:
- Families — your name, contact details, your child's name, year group, school, academic needs, and any information you share with us to help us find a suitable tutor
- Tutors — your name, contact details, qualifications, references, DBS certificate outcome, bank details, and information relating to your tutoring experience
- Website visitors — general browsing information via Google Analytics, to help us understand how our website is used
How We Use Your Information
- Match families with a suitable tutor
- Vet and onboard tutors, including safeguarding checks
- Manage bookings, invoicing, and payments
- Communicate with you about your enquiry or ongoing arrangement
- Meet our legal and regulatory obligations
Our Legal Basis for Processing
- Contract — to provide our matching and administrative services once you engage with us
- Legitimate interests — to respond to enquiries, maintain our tutor roster, and run our business
- Legal obligation — for safeguarding, tax, and other regulatory requirements
- Consent — where we ask for it specifically (e.g. certain website tracking)
Who We Share Your Information With
We share information, where necessary, with:
- TutorCruncher — our scheduling and invoicing platform
- Stripe — for processing payments
- Google Analytics — for website analytics
We do not sell your personal information to any third party.
How Long We Keep Your Information
- Unsuccessful tutor applications: 12 months, then deleted
- Active tutor records: 1 year from the last date we provided work-finding services to you
- References: 1 year following a tutor's introduction to a family
- Family/client records: 1 year from the last date we provided services to you
- Contracts and terms of business: 6 years
- Invoices and financial records: 6 years, in line with HMRC requirements
- DBS certificate details: we retain only the outcome (clear/not clear) and date checked, not the certificate content itself
Your Rights
Under UK GDPR, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information, where applicable
- Object to or restrict certain processing
- Withdraw consent, where processing is based on consent
